Key Responsibilities

1. Payroll & Compensation Operations

  • Operate the full payroll cycle for local hires, expat, freelancer and outsource, including data preparation, bank payments and payslips creation.
  • Track timesheets, overtime requests, and leave records (seniority leave, sick leave, etc.).
  • Record and calculate various allowances, bonuses, withholdings, perks and benefits.
  • Prepare monthly, quarterly, and any ad-hoc reports, including absenteeism, labor cost analysis, total reward analysis, market benchmarking etc.

2. Statutory Insurance (SHUI) & Health Care

  • Handle registration of increases and decreases, update salary adjustments, and reconcile monthly payment contributions.
  • Process claims for sickness and maternity; re-calculate and explain social insurance payments to employees.
  • Operate premium health care insurance, including vendor list updates, fee checking, and supporting employees with claim procedures.
  • Operate the end-to-end cycle of the annual health check program, from customizing packages and performing vendor comparisons, obtaining approvals, managing contracts, conducting company-wide announcements to measuring program effectiveness by surveys.

3. Personal Income Tax (PIT) & Trade Union (TU)

  • Estimate PIT reports, register dependents, and handle monthly/quarterly PIT reporting and payments.
  • Finalize annual PIT and issue PIT withholding certificates; guide employees on self-tax finalization.
  • Register tax codes, open bank accounts, and guide expats and foreign employees on electronic tax accounts.
  • Submit labor contracts and relevant mandatory documents to authorities.

4. People Operations & Compliance

  • Prepare onboarding documents, labor contracts, NDAs, renewal documents and offboarding documents.
  • Prepare and submit mandatory reports to authorities, including Foreign Employee, Occupational Safety and Health etc.
  • Coordinate with relevant internal departments and companies within the group to ensure HR policies, internal regulations and processes are compliant with local legislations and the group global standard.
  • Administer people operations and suggest improvements to optimize them.
  • Stay updated on changes in labor laws and industry regulations, and proactively adjust internal policies accordingly.
  • Clarify and resolve employee inquiries related to company regulation, payroll & insurance.

 

Requirements

  • Education: Bachelor’s Degree in Human Resources, Finance, Business Administration, or a related field.
  • Experience:
    • 8 - 10 years of experience in C&B or Payroll Specialist or Total Reward Specialist roles.
    • Proven ability to thrive in a high-speed, international environment while managing multiple concurrent tasks and deadlines.
    • Experience in IT or BPO environments is a strong plus.
    • Experience in mid to large corporations is an advantage.
  • Technical Skills:
    • Strong knowledge of the Vietnam Labor Code, Payroll, Compulsory Insurance and PIT regulations.
    • Total reward mindset and knowledge to continuously optimize employee benefits for high engagement while remaining in harmony with the company's financial contributions and business objectives.
    • Advanced proficiency in MS Excel or Google Sheets, with a proactive drive to utilize digital tools (both SaaS and AI-powered tools) for process automation and data accuracy.
  • Soft Skills:
    • Exceptionally detailed and diligent, particularly when managing complex payroll execution, statutory insurance (SHUI) reconciliations, and personal income tax (PIT) calculations.
    • High level of logical and design thinking to evaluate the effectiveness of compensation structures and implement innovative Total Rewards frameworks.
    • Strong sense of responsibility over confidential HR data and ownership of both day-to-day operations and periodic projects.
    • Strong communication skills in both English and Vietnamese (spoken and written).
    • A proactive open and growth mindset is essential for staying updated on changing external and internal context and constantly seeking opportunities for continuous self enhancement.
