JOB SUMMARY

The Senior HR & Admin Executive plays a key role in handling daily administrative operations while supporting Organization Development (OD) initiatives and ensuring basic legal compliance. This position requires a highly organized, proactive, and energetic individual who can handle multiple responsibilities across Admin, Organization Development and Legal coordination.

KEY RESPONSIBILITY: 

1. General Affairs (GA) & Office Administration

  • Ensure smooth daily office operations.
  • Manage office supplies, equipment purchasing, repairs, and maintenance.
  • Handle administrative bills, office expenses, and general errands.
  • Review supply requisitions and ensure proper approval from the Board of Directors.
  • Manage contracts and price negotiations with office vendors, service providers, and landlords.
  • Maintain strong relationships with vendors/service providers and ensure timely invoicing and payment.
  • Plan and execute procurement of office equipment, workspace layouts, and office system improvements.
  • Provide general support to employees and welcome guests/visitors.
  • Manage all travel arrangements including visas, TRC, work permits for expats, flights, hotels, transportation, and issuance of travel documents.
  • Coordinate and execute company events, internal activities, and team-building programs.
  • Ensure the workplace complies with safety and security standards.
  • Perform other assigned administrative tasks and other tasks from the Manager as needed.

2. Organization Development (OD)

  • Participate in planning and execution of Organization Development (OD) activities, including: company events, company programs, engagement activities, etc
  • Participate in building and maintaining company culture initiatives
  • Collaborate with stakeholders to improve employee experience

3. Legal & Compliance Support

  • Support legal documentation, contracts, and company records management
  • Liaise with external legal partners or consultants when needed
  • Ensure compliance with company policies and local regulations
  • Assist in preparing documents for audits, licenses, and regulatory requirements

 

REQUIREMENTS: 

1. Core Skills: 

  • Bachelor’s degree in Business Administration, Human Resources, Law, or a related field
  • At least 6 years of experience in a related roles, for example: General Affairs, General HR Admin, Internal Communication, etc 
  • Strong understanding of office management responsibilities, administrative systems, and HR procedures.
  • Having experience in handling Visa, Work Permit for expats living in Vietnam
  • Good understanding and have experience in internal communication and employee engagement activities
  • Having knowledge of corporate legal and compliance 
  • Proficiency in Microsoft 365 and Google Workspace (Docs, Sheets, Drive, Cloud).
  • Experience with Slack or quick adaptation to digital tools is a plus.
  • Excellent communication skills in English and Vietnamese
